Approving and annotating content

When you have been requested to approve content, you will receive an email for each asset (or group of assets) from which you can click a link.

You can also always find content you need to approve or are managing in ‘My OMG’ -> ‘My approvals’. By default you will seem content you need to approve, but you can click ‘My sent approvals’ which will show you content you are managing the approval for.

Reviewing content

  • Click on the link in your email or on a link in you ‘My approvals’ page.
  • The approval window will open and display the asset(s) you need to approve.
  • Multiple view options are available based on the content you are approving:
    • Single assets
      • The single asset will appear in the main window.
    • Multiple assets
      • Adds the carousel at the top of the window allowing you to navigate through multiple assets. This can be collapsed if required
    • Multi-page documents (eg PDF/Office docs)
      • Where multiple pages are available, a pagination navigator at the bottom of the screen will allow you to browse between pages
    • Images
      • Displays as a single view with the option to zoom
    • Digital files
      • Will display a moving version of the file for you to review
      • A menu at the base of the screen will allow you to choose between two views;
        • ‘Navigate’ – to enable any interaction with the content – eg Calls to action
        • ‘Annotate’ – to enable comments and mark up
    • Video
      • Will display a version of the file for you to review with playback options including Pause to allow comments to be added to specific frames.

Approving/Rejecting content

  • From the main menu bar you will see ‘Approve’ or ‘Revise’ options.
  • Click the relevant button to action your approval vote.
  • If ‘Rejecting’ you should add all comments before making your decision
  • The ‘Approval Owner’ will receive an email confirming you have actioned your vote.

To add comments, follow the additional steps below.

Annotating content

You can utilise the annotations options on the left hand side to add comments to assets.

  • Pencil marks – Free style drawing onto the asset
  • Notes – Add a post-it note
  • Text tools – Select text and opt to:
    • Highlight
    • Remove
    • Replace
  • Zoom – Zoom in or out of the asset
  • Pan – Move around an asset when zoomed in
  • Print – Print a summary of all comments on an asset

Comparing versions

If an asset has been sent on approval and versioned previously, you can compare different versions side by side.

  • From the ‘Actions’ menu, select ‘Start compare’
  • The window will split into two and display the asset on both sides.
  • In the top left corner of each side, choose the version you want to view and the screen will refresh to display accordingly.
  • As you navigate through the asset on each side, the other will keep as up to speed as possible (page by page, second by second etc)
    • Under the ‘Compare Options’ menu there are actions to synchronise the navigation, pan and zoom between the two assets.
