Managing line items

In order to define the resources required to complete the deliverable, line items need to be added.

There are 3 line item types available for Deliverables;

  1. Client service – Time-based resource roles (eg. Designer)
  2. Asset – Fixed cost items based on pre-determined resource allocations (eg. Key visual)
  3. Unit – A non-time based product or service (eg per-word)

Line items are organised in Stages based on the workflow/route that the deliverable will follow (eg. Initial design > Amends > Delivery). The stage breakdown is also included on Estimates

Adding line items

When a new deliverable is created from scratch, there will be a single stage.

  • Click ‘New item’ to insert a new row into the stage
  • Confirm the ‘Service line type’ then browser or search for a ‘Servce line’
    • The service lines available are defined by the projects rate card and currency configuration and define the Sell price
  • Use the ‘Name’ field to provide a more detailed description
  • Set an estimated ‘Qty’ (eg. number of hours)
  • Click ‘Save’ and repeat for each service line required

Managing stages

  • To edit the ‘Stage name’, ‘Stage description’ and associated ‘Version’ select ‘Actions’ and ‘Update stage’
  • To add a new stage, select ‘New stage’ from the top menu bar
  • When all the line items have been completed, the stage should be set to ‘Complete’ via the ‘Actions’ – ‘Complete stage’ option

Applying stage templates

Stage templates can be created and applied within a Deliverable

  • Select ‘Actions’ and choose ‘Apply template’
  • Browse the available templates, select the appropraite one and click ‘Apply’
  • The template’ line item(s) will be added to the stage and can be adjusted accordingly

Considerations

  • Time cannot be added to line items marked as ‘Complete’
  • Line items cannot be deleted if there is time associated to them
  • When a template is applied, only those line items available on the rate card will be added
