By allocating tasks (deliverable line items) to your team, you can see at any time what they are working on
Resource scheduler / booking time
- Given you have created a deliverable and added the relevant line items.
- Click onto the clock icon at the far right column.
- A panel will appear from the right of the screen, with a list of time logged/booked for that selected line item.
- To add a time slot, simply click ‘Add time’.
- Then a modal will be presented. In the modal, you can add a description related to your time allocation, then selected the start/end time.
- Lastly, make sure you select ‘Log type’ to be ‘Booked’, then click ‘Add’ to save the booked time
- Using the same modal you can also log your time against a line item
- You will then be prompted with a message that you’ve successfully recorded your entry.
- From the right panel, you will find your latest booked/logged entries.

Schedule work whilst in Deliverable
This way might be more effective is whilst you’re in the job/deliverable:
- Select ‘Line items’ via the left nav and at the top right of the screen select the drop down ‘Schedule view’ and select the relevant agency/studio.
- You’ll then be presented with the calendar view with all the resources for the selected agency/studio. From this view, you can see all existing tasks booked against each resource and their availability.
- In the calendar you’ll also find a red line to indicate the present time so you’re aware where we are in the day.
- On the left nav, you’ll find all the tasks for that job/deliverable you’re currently in.
- From there you simply double click a task and drag into the relevant resource date/time.
- This will save automatically and will appear in the resource’s calendar.
- At any point you can select any booked entry and drag them from one person to another. In addition, if you double click a booked entry, you’ll get a quick action menu, which allows you to View the job details, Duplicate the entry, or delete the selected entry.
Operators will not be able to move/delete any booked time, only people who has access to manage resource are able to alter these entries.
Schedule work alternative if not in Deliverable
Alternatively, if you’re not in a job/deliverable and you have a list of jobs you need to schedule, simply navigate to ‘My resource’ under ‘My gateway’. You’ll be displayed with a modal to select the agency/studio you wish to view.
- Once you’ve selected a agency/studio, you’ll be presented with the calendar view with all the resources for the selected agency/studio. From this view, you can see all existing tasks booked against each resource and their availability.
- To allocate a task to a resource, you’ll need to search for the job number or project/campaign number via the left nav. This will bring up all the relevant tasks which you can double click and drag into the relevant resource date/time.
- Once you’ve scheduled a task, the booked time will appear in the resource calendar so they know what has been allocated to them to work on.

Whilst you’re in the ‘Scheduling view’ or Resource view’ when allocating work to resources, you can find a ‘Task summary’ on the left nav which shows you the estimated time, booked time and logged time. This will help you to keep track of tasks that are over burned. The colour of the booked/logged time will indicate ‘RED‘ when time is over burned, ‘GREEN‘ when time is on track.
Furthermore, you can filter your list of resources to view individuals specifically. On the far right corner, if you click ‘Filter’, you’ll be presented with a modal to select the people you wish to view within that agency/studio. Once you select one or more, click ‘apply’ and view will update. More over, you toggle between different views e.g. day, week, month and include weekends if you like.
